Viewing audit activity
The MFT audit activity log provides an overview of all actions on MFT Emails. You can view the customers who have downloaded documents without going through each contact's Salesforce Activity History individually.
Administrators can also view all sent MFT Emails and their associated download activity.
Accessing audit activity logs
To access the audit activity log, follow these steps:
- From the Salesforce menu, select an Account, Contact, Case, Lead, or Opportunity.
- Click MFT Audit.
The Audit Activity Log has three views:
- Summary layout - Displays the time, operation, and basic information about each activity. It does not display attachment or message information except for the subject of the MFT Email.
- Basic detail - Displays attachments as the user creates them. For example, if a folder is attached, only the folder appears.
- Full detail - Expands all items, instead of simply listing them as the user created them. In the basic detail, only the attached folder is shown.
Searching audit activity log
You can search the audit activity log in the following ways:
Enter your search terms in the correct field and click Go.
MFT tracking number
Each MFT email you send is assigned a Tracking Number in the format T478-058-32658-83585.
- To locate the tracking number, click the subject of the MFT Email in the activity log.
- Recipients see the tracking number in the email body of the email they receive.
To search MFT Email using a Tracking Number, follow these steps:
- Copy the Tracking Number from the source and paste it in the search box.
- Click Go to view all the activity that has taken place on that MFT Email.
If multiple documents are attached, only those downloaded by the customer will be included in the External Download section of the Log. Documents not downloaded will be included under Secure Message Operation, but not under External Download Operation.
Message subject
If you know the message subject, you can search by it. This allows you to retrieve all sent MFT emails from a campaign and view download responses for all recipients at once.
Sender email
This feature helps administrators search for MFT emails sent by a specific user. This will allow you to see everything the user has sent, including all the detailed information.
Message body
To search based on what is written in the body of an email, use this search box.
Private message
This feature is similar to the Message Body search box, but searches the body of the Private Message located under the Private Message tab in the MFT Email.
Recipient email
The recipient email search tool allows you to find all emails sent to a specific address. This is helpful for retrieving MFT emails sent to recipients not in your contacts, since they will not be in the Activity History or when multiple users share an email address. Use this function to view all MFT Emails sent to that address.
Downloading and clearing Audit-activity log results
The Audit-Activity Log lets you download your search results to Excel or clear your results. You can download all the results or only those listed on the page.
Export Results Shown on the Page
When you download only the results shown on the page, you will receive only the results currently visible. If you have a small number of Rows per Page selected, there may be many more results.
Export all results
This option downloads all results that fit your search. However, it will not download all the results into the database. To download all results in the database, search with no search terms. This downloads the entire history.
Clearing results
Clearing Results removes all of your results from the list, but your search terms remain the same. After clearing your results, you can click Go again to replicate them.
Clearing filter
Clearing the Filter returns you to the default settings and removes any search results. If you had a number of rows selected, chose an ascending view, or chose a layout other than the default, they are returned to the default. Also, all search terms will be removed.
Operations in the audit activity log
The Operations shows the type of operation performed, along with the associated time. All of these operations are available in the Activity History and the audit activity log.
Four common operations are defined below:
- Secure Message: An MFT Email has been sent.
- External Download: The attachments from the MFT Email have been downloaded. The downloaded attachments will be listed in the detailed layouts.
- Internal Upload: A user has uploaded a file to attach to an MFT Email.
- MFT Email Attachments Expired: A file has reached the Expiration date without being downloaded.
