Sending files and folders from Salesforce

MFT Email can be accessed from the following Salesforce menus:

  • Accounts
  • Contacts
  • Cases
  • Leads
  • Opportunities
  1. Select an MFT-enabled Salesforce menu.
  2. Select an individual Contact, Case, Lead, or Opportunity to access the MFT Email button.
  3. Click MFT Email. The MFT Secure Message window opens.
  4. Refer to the following sections for more information.

Enabling require recipient login

  • You can enhance security by requiring recipients to log in with a password to access the MFT Email and attachments.
  • When this feature is enabled, the recipients cannot download the file until they register by verifying their email address and creating a password.
  • Recipients cannot download files if they use an email address not included in the original recipient list. This prevents unauthorized forwarding of information.

Adding recipients

  • To – You must have at least one recipient in the email. If you have selected a Contact, Lead, or Opportunity, this field will automatically be populated with that contact's email address. It will not automatically be filled out when you have selected an account or a case. Use the search buttons next to each address box to access your Salesforce contacts.
  • CcCarbon Copy Recipients: (Optional)Enter email address(es) as a Cc. All To and Cc Recipients are visible to everyone who sees the email.
  • BccBlind Carbon Copy Recipients: (Optional)Enter email address(es) as a BCC. All To and Cc Recipients are visible to all recipients, but Bcc recipients will not be displayed. You may add your own email address to receive a copy of the MFT Email.

Adding subject

Type in the subject of the MFT message.
If you open a new MFT Email from a case, the subject field is automatically populated with the case number.

Adding email body

Message Tab: Enter the email body. All recipients will see text in the same format and security as a regular email.

Private Message Tab (Optional): Use this tab to send sensitive information as a private message.

  • In a private message, recipients can only read private message content after clicking the MFT link in the email.

  • Private messages are delivered over a secure SSL connection.

  • The private message text does not appear in the MFT Email notification. If password protection is enabled, recipients must enter the correct password to view the message.

Setting expiration

You can set an expiration date that removes the file from download availability. This feature is useful for time-sensitive data or to prevent indefinite file downloads.

Adding attachment

To add an attachment, follow these steps:

  1. Click Add Attachments to select files you want to send to the recipients. An Add Attachments window will appear.
  2. From the Add Attachments window, select files and folders stored in Salesforce or in the MFT Server.

Files or folders on your C drive will not be available until you upload them to Salesforce or the MFT server.

Attachment type for the file or folder

If you access MFT Email through Contacts, the third option in the list is Salesforce Contact Attachment. This option changes based on the tab (Accounts, Contacts, Cases, Leads, or Opportunities) you use to open MFT Email, giving you access to documents relevant to that tab.

For example, under Contacts, you can access Salesforce Contact Attachments. Under Leads, you can access Salesforce Lead Attachments.

After selecting the attachment type, select a folder and then click Search.

In case you need to send, for example, a Lead Attachment to an Opportunity rather than to the Lead. Since you can only attach specific Lead Attachments in an email opened in a Lead. To send a Lead Attachment to an Opportunity, do the following:

  1. Open MFT Email from a Lead to access the attachment.
  2. Change the recipient's email address to the Opportunity to which you want to send the attachment.

Use this approach whenever you need to send a particular Salesforce document type to a different contact type.
