Viewing sent items tab in side panel

After sending files or folders using the MFT Add-In for Outlook, you can view message details within the Sent Items tab.

When you click the Sent Items tab, you can view the email subject, recipient email address, date and time of the transaction, and the download status of sent content.

You can also perform several actions on the messages you send.

Download Status Icons
Icons appear next to each MFT message to indicate its download status.

Status IconDescription
The recipient has downloaded all files and folders.
The recipient has not yet downloaded files or folders.
Files or folders are expired, and you can no longer download them.

Editing MFT message details from Sent Items

To edit an MFT message from the Sent Items tab, do one of the following:

  • Double-click any message, and the Edit MFT message window opens.
  • You can also right-click any message and click Open.

Edit MFT message window shows additional details about an MFT message, such as the tracking number, expiration date, message body, attached files, and whether the message requires a password to download files.

You can make multiple changes to an MFT sent email, as mentioned in the following sections:

Always click Save MFT and Close in the Edit MFT message window after making changes.

Changing expiration date

All files and folders sent with MFT have a download expiration date that you can modify anytime. When sent files expire, they can no longer be downloaded by recipients.

To change the expiration date of files and folders:

  1. Click the drop-down arrow next to Expires in the Edit MFT message window.
  2. Choose a date from the calendar.
  3. Click Save MFT and Close.
Immediately expiring attached files

You can prevent recipients from downloading files you have sent in the following ways:

Option 1:

  1. Click Now within the Edit MFT message.
  1. Click Save MFT and Close at the top of the window.

Option 2:

  • Right-click the message from Sent Items and click Expire Now.
Viewing attachment details

To view the attachment details of an MFT message:

  1. Right-click any attachment from the Edit MFT message window.

  2. Click Show Attachment Details.

    In the Attachment Details window, you can view the file name, location and full path on the MFT Server, and the attachment size.

  1. Click OK to close the Attachment Details window.
Removing attachments

To remove sent attachments:

  1. Right-click on any attachment from the Edit MFT message window*
  2. Click Remove.
    This will prevent recipients from accessing and downloading the sent attachments.
  1. Click Save MFT and Close.
Undo changes to sent items

To undo any changes made in the Edit MFT message prior to saving:

  • Click the undo icon at the top of the window.

You can also undo all changes made in that session, close the Edit MFT message window using the X in the upper right corner, and then select No, Discard Changes in the resulting pop-up window.

Deleting MFT message from sent items

Deleting a message from Sent Items permanently deletes the message and all its attachments from the MFT server; as a result, recipients will not be able to download all files. You will be asked if you want to delete a message whenever you attempt a permanent deletion.

To delete MFT messages from Sent Items:

  • Right-click a message and click Delete.

Refreshing sent items

To ensure that the Sent Items list has the latest updates and changes:

  • Right-click any message and click Refresh Sent MFT List.
